About tiles

The Home page may display tiles that are relevant to your role. Tiles provide a quick way to view information or perform tasks such as entering time in your timesheet right from the Home page. Tools available in tiles

Depending on which tile you are working with, the tile may include one or more tools.

Full feature link

Some tiles include an arrow in the lower right corner referred to as the full feature link. The link opens the relevant feature directly from the Home page. For example, the Timesheet tile full feature link opens your timesheet.

Carat

The down carat ^ may be available in the upper right corner of some tiles. The carat shows (or hides) a list with selectable items. For example, the Absent tile carat opens a list with items "Today" and "Today + Tomorrow." Select an item and optionally, click Save to save your preference for the duration of your session.

Drag tile icon

The drag tile icon is available in the upper left corner of all tiles. Click the drag tile icon and move the tile to a different location on the Home page, then release the cursor when the tile is placed where you want it.

Tile descriptions

Tiles are described below.

Absent. This tile lists employees with approved leave requests for today or both today and the following day. The list includes the employee's name, the leave type, and the number of hours. The down carat shows a list with the items "Today" and "Today + Tomorrow."

Assign a Role. Use this tile to quickly assign a role to an employee.

  1. Type the employee's Last Name or User ID in the text box and click Search. If the search finds one or more names, the names are listed.

  2. Click to select the name that identifies the employee.

  3. Click the Role list to select a role.

  4. Click Assign to save the change. A success message displays. The role is removed from the list.

Change Password. Use this tile to search for an employee and change the employee's password.

Final Timesheets. This tile lists employees who are separating from the agency and submitting their final timesheet. Click the caret to change how many employees display in the list.

Holidays. This tile lists holidays from the employee's assigned holiday calendar. The list includes the name of the holiday, the day of the week, day, and month. The date range includes the current year and up to five years in the future.

I'm a Delegate for. This tile lists names of your delegates.

Import Data Failures. This tile displays details about job imports that contain failed records. Details include the Job Name, run date, and the number of failed records. The carat shows or hides the Lookback list. The Job Name link opens the Import Job page. The full feature link opens the Import Job Management page.

Incomplete Profiles. Use this tile to search for incomplete employee profiles. Search filters include: Missing Timekeeper, Missing Supervisor, Missing Org, and Invalid Timesheet Profile. The search returns employees by Last Name, First Name, and User ID. Click the Name/User ID link to open the employee profile.

Job Failures. This tile identifies failed jobs. Details include the Job Name, run date, and a brief reason for the failure. The carat shows or hides the Lookback list. The Job Name link opens the Job Management page. The full feature link opens the Job Management page.

Jump to Employee. Use this tile to select an employee from a list and then open the timesheet or timesheet profile for the employee's current pay period.

Leave Balances. Managers may use this tile to select an employee from a list and view balances as of the current pay period and the end of year (EOY.) Balances that are zero are not included. The full feature link opens the employee's Leave Balances page.  HR Administrators search by employee name using the Employee search box instead of selecting from a list.

Leave Balances. Employees may use this tile to view balances as of today and the end of year (EOY.) Balances that are zero are no included. The full feature link opens the Leave Balances page.

Leave Request. Employees use this tile to submit leave requests. Details include the type of leave (Transaction), the dates of the leave request, the daily hours and the meal.  The employee must enable the check box next to "I agree to the terms" to acknowledge compliance with the agency's procedures. The full feature link opens the Leave Requests page.  If the Transaction leave type involves sick leave, the Submit button is replaced by the Continue button. When the employee clicks Continue, the Leave Requests page opens so that the employee can include the Sick Leave Purpose details and then submit the request.

Leave Request Counts. This tile lists the number of Pending, Approved, and Denied leave requests. The time frame includes the first day of the previous pay period and all future requests. The Status link opens the Leave Requests page.

Leave Request Status. Employees use this tile to view the number of leave requests in Approved, Pending and Denied status. The number includes proxy requests submitted by the employee's Timekeeper. The time frame includes the first day of the previous pay period and all future requests. The full feature link opens the Leave Requests page.

Leave Requests. Supervisors use this tile to view employees with pending leave requests. The time frame includes the first day of the previous pay period and all future requests. Details include the employee Name link, the dates of the leave request, the type of leave requested, and the Approve and Deny option. The carat shows or hides the Number of Requests list. The Name link opens the Leave Requests page. The full feature link opens the Leave Requests page.

Leave Used. Employees use this tile to review the amount of Annual or Sick leave used in the current year. Details include the date that the leave was taken and the number of hours. The time frame (for the year) includes the beginning of Pay Period 1 through the end of the current pay period.

Locked Out. Administrators use this tile to view a list of employees who are locked out of the system because of authentication issues. A message identifies the total number of users who are locked out, for example, "Displaying 25 of 36." Users are listed in alphabetical order by last name. Web Services account users are identified with the user ID as the last name.

Log In Failures. Administrators use this tile to view the number of employee log in failures for the day. The information is derived from the Login Failed audit. The full feature link opens the Audit Logs: Login Failed page.

LTP Donations. This tile lists LTP donations submitted by employees for approval. Details include the employee Name, the LTP Account Name, the hours, and type of leave. The Approve and Reject options are available for responding to each donation. The full feature link opens the LTP Management page

My Delegates. Authorized roles use this tile to view current delegates, add delegates, and remove delegates. The full feature link opens the Delegate Roles page. Depending on how many potential delegates are available, the tile behaves a little differently:

  • If there are 50 or fewer potential delegates, a list displays next to the Add button. Select the person you want to assign as a delegate and then click Add. A success message displays and the person's name is listed under Current Delegates. The trash icon displays on the same row in case you want to remove the delegate.

  • If there are more than 50 potential delegates, a text box displays next to the Search and Clear buttons. Type the last name of the user in the text box and click Search. The system adds an implied wildcard after the text  and lists the results in alphabetical order. For example, if you type Lew, the results might include Lewis, Emma, Lewiston, Charles, and Bailey, Lews. The Add button displays next to each name. Click Add on the row that identifies the person you want to add as a delegate. The search results are removed, a success message displays, and the person's name is listed under Current Delegates. The trash icon displays on the same row in case you want to remove the delegate.

New Employees. This tile lists new employees who have started in the current pay period.

Paydays. Employees can refer to this tile for a list of upcoming paydays. The most recent payday is highlighted. The carat shows or hides the Number of Paydays list.

Payroll File Status. This tile displays details about the payroll build file and transmission for previous builds or the next build. The tile includes the Run Build Now button. The full feature link opens the Payroll Provider Management page.

Premium Pay Request. Employees use this tile to submit a premium pay request. Required entries include the Transaction Code, Start Date, End Date, and Hours. The full feature link opens the Premium Pay Requests page.

Premium Pay Request Status. Employees use this tile to review the number of premium pay requests in Approved, Pending, and Denied status. The number includes proxy requests submitted by the employee's Timekeeper. The time frame includes the first day of the previous pay period and all future requests. The full feature link opens the Premium Pay Requests page.

Profile. Employees use this tile to identify their Timekeeper, Supervisor, and Org. The full feature link opens the employee profile Settings page.

Ready to Certify. This tile lists employees with validated timesheets for the immediate Previous pay period or the Current pay period. The employee Name link opens the validated timesheet. The Certify Selected option is available for certifying one, several, or all timesheets sequentially. The full feature link opens the Select Timesheets page.

Report a Problem. This tile contains a link to UKG Community. Authorized users may add cases or work with existing cases.

Schedule Requests. Supervisors and Master Supervisors use this tile to view employees with past, present and future requests in Submitted status. By default, the tile displays 5 requests. The employee Name link opens the schedule request, which includes the Approve and Deny options for responding to the request. The full feature link opens the Schedule Requests page.

Note: This tile is dependent on the Advanced Scheduling license. For the tile to appear on the Supervisor or Master Supervisor's Tiles panel, an authorized role must enable the Advanced Scheduling check box on the Supervisor's employee profile Settings > Licenses page. Additionally, the Administrator must enable the Schedule Requests tile on the Tile Management > Enable Tiles page. For details, refer to About licenses and Enabling and disabling tiles.

Send Message. Employees use this tile to send a message to their Timekeeper, Supervisor, or both.

Send Message to Employee. Various roles use this tile to send a message to an employee.

System Wide Message. Administrators use this tile to send a notification alert to all users in the system.

Supervisor Delegates. HR Administrators use this tile to add or remove delegates on behalf of a Supervisor. The full feature link opens the Manage Supervisor Delegates page.

Timekeeper Delegates. HR Administrators use this tile to add or remove delegates on behalf of a Timekeeper. The full feature link opens the Manage Timekeeper Delegates page.

Timesheet Counts. This tile displays the number of timesheets in Unvalidated, Validated, Certified/Processed, and Sent status for employees assigned to a manager. The carat shows or hides by the Pay Period list.

Timesheet. Employees use this tile to quickly enter hours and specify a pay code and account without opening the timesheet. The full feature link opens the user's current timesheet.

Unvalidated Timesheet. This tile lists employees with unvalidated timesheets for the previous or current pay period. The employee Name link opens the unvalidated timesheet. The Validate Selected option is available for validating one, several, or all timesheets sequentially. The full feature link opens the Select Timesheets page.

VLTP Recipients. This tile contains a list of current VLTP recipients. By selecting a recipient from the list, the tile shows details about the Donations, Deductions, and Balance. The full feature link opens the LTP Management page.
